Manage files

  • Check out a file
  1. Double-click a file in the Drive document library (or use the Check Out button located on the toolbar).
  2. Click the button Check out.
  3. Click Open when the dialog window appears, which asks if you want to open the file with the extension, you can check the box if you want your choice to be saved (in some browsers you must also allow Pop-up windows). Once done, the file will be downloaded to your Checked out files folder. Click Cancel if you rather want to cancel.
  4. In the next dialog window, select the program with which you want to open the file (e.g. Word) and click OK. Check the box if you want the operating system to remember your choice, to avoid choosing each time.
  • Check in a file
  1. When you have finished editing and clicked Save in e.g. Word, a dialog window appears down right after a few seconds, where you can choose whether you want to Check in the file, or if you want to Update file and continue working.
  2. If you click Check in without closing the file first, a dialog window opens, and you are prompted to close the file. Close file and click Retry. The file is now deleted from your local folder and will be uploaded again to the server. Also note that the version number will be increased.
  • Preview a file
  1. Double-click a file under Drive (or use the Check Out button located on the toolbar).
  2. Click the Preview button.
  3. A new tab will now open and you can preview the file directly in your web browser without downloading the file locally (in some browsers you must also allow Pop-up windows).
  4. Close the tab when you are done (most common by clicking X).
  • Download a file
  1. Double-click a file under Drive (or use the Check Out button located on the toolbar).
  2. Click the Download button.
  3. This step may vary between different web browsers. Usually, you need to confirm in some way, that you want to download the file. It depends on the settings in your web browser. Once you have confirmed, the file will be downloaded locally to the folder selected in your browser.
  4. Close any tab in the browser and click on the link to the file (which usually ends up at the bottom of the browser window) to open the file.
